Communication with Parents and Carers

As an Academy, we communicate with parents and carers in a variety of ways throughout the year. This includes:

On receiving communication from parents, the Academy works hard to keep the following timescales:

  • Emails and letters will receive either a verbal response within 3 working days*, or if an investigation is needed within 5 working days. If a written response is required this will be provided within 10 working days

  • Telephone contact in relation to concerns will be addressed within 3 working days*, unless of a serious safeguarding matter in which we will endeavour to provide a response as soon as we are able.
  • Emails will receive an email response within 3 working days*. Emails received in the evening, at weekends or during holiday periods will be replied to within three working days of receiving them as we do not expect our staff to work outside of their contracted hours.

(*)for part-time staff, three working days may not be the same as three school days

Who will deal with my concern?

Your child’s Form Tutor has oversight of your child’s academic, social and emotional wellbeing, as such they are the first person most communications should go to.

If there are ongoing or very serious concerns this may be dealt with by the Head of Year, Senior Head of Key Stage or a Senior member of staff. The names of the Heads of Year and the Senior Heads of Key Stage for each year group are below, so any email contact can be made our admin account marked ‘for the attention of’ (FAO) the relevant member of staff.

If your concern is specific the following escalation process will be used:

For Pastoral Concerns:

  1. Tutor: The first point of contact for any pastoral issues is your child’s tutor. They know your child best and can provide immediate support.
  2. Head of Year: If the matter requires further attention, please reach out to the Head of Year.
  3. Senior Head of Key Stage: For ongoing issues, the Senior Head of Key Stage is available to help.
  4. Senior Link: Finally, for unresolved concerns, you can connect with the Senior Link.

For Curriculum Concerns:

  1. Teacher: Start by speaking with your child’s teacher, who can provide insights into classroom learning.
  2. Curriculum Leader: If further clarification is needed, the Curriculum Leader can assist.
  3. Senior Link: For any outstanding issues, the Senior Link is here to support you.

Mrs Palmer (Head Teacher) delegates her responsibilities as above to ensure swift responses and so requests or demands to meet with her are unlikely to be met unless the pathway above has been exhausted.

Frequently Asked Questions 

What should my child do if they are worried, upset or unhappy in school?

The person who oversees your child’s pastoral care is their tutor, so they should make sure they tell see them and tell them how they feel. This can be done during tutor time, break and lunchtimes. The tutor will support your child with strategies and contact you as necessary. We are a phone free school and do not expect students to call parent during the school day about an issue in school; if they do a detention will be issues as per the School’s behaviour and Ethos Policy.

What if I have concerns of a Safeguarding nature?

The Academy’s Safeguarding procedures are a strength of the school and staff are highly trained and experienced in keeping children safe.  Queensbury Academy’s Designated Safeguarding Lead is Mrs Rachel Mason (rmason@queensbury.anthemtrust.uk ) and she is supported by the Deputy Safeguarding Lead, Mrs  Karen Wasway (kwasway@queensbury.anthemtrust.uk) and Mrs Kiteley (fkiteley@queensbury.anthemtrust.uk)  Mental Health and Safeguarding Support Assistant. The safeguarding@queensbury.anthemtrust.uk email address can also be used as can calling 01582 601241 and using the safeguarding extension.

These staff can be contacted direct and will reply as soon as possible. There is also a ‘Report a Safeguarding Concern’ button on the Academy’s website which will forward information straight to these staff.

Please be aware that Safeguarding staff are not a contact for behaviour issues or parents wishing to gain feedback on live incidents.  This information will be reported to you by the relevant member of staff at the end of the school day.

Our staff are entitled to work in a safe environment without fear of abuse, intimidation and verbal or physical violence.  If communications are received that are deemed to meet the above criteria they will be forwarded to the Senior Team for discussion and will not be responded to by the member of staff addressed.  This is likely to delay the response time and so the previously stated timeframes are not likely to be met.
